
How to Order Scan on Demand Images
Ordering imagery through Scan on Demand is designed to be simple and transparent. Follow the steps below to request imagery from the NCAP archive.
1. Create an Account
Before placing an order, you must create an account on the Historic Environment Scotland (HES) services platform. The email address you use to register will be used for all order updates, notifications, and download links.
If you are an account-managed customer, your HES account will be linked to the business details provided during your onboarding process.
Once registered, you will be able to manage your orders, quotations, licences, and downloads from a single location.
Your account allows you to:
- Submit orders
- Track order progress
- Review quotations
- Accept licence agreements
- Access previous orders
- Download completed orders
2. Submit Your Enquiry
To place a new order, complete the online Image Order Enquiry form.
Before you begin, please ensure you have:
- Licensee details, including business name and address.
- Sortie/mission and frame reference details - If required, refer to our Guide for Second World War finding aids and Guide for OS finding aids.
- Image resolution requirements.
- Delivery timescale and any additional services required.
- Licence information, including intended use, project details, territory, and licence term.

Tip: For larger projects, we recommend using our Excel ordering template to submit multiple image references or sorties within a single order. You are welcome to rename the file to match your own project references and internal naming conventions.
3. Review and Accept Your Licence Agreement and Quotation
Once the NCAP team has reviewed your enquiry, you will receive a quotation and licence agreement for approval. You will receive an email notification from Sales Support (no-reply-automate@hes.scot) inviting you to log in and review the quotation and licence.
Before accepting, please verify that all chargeable items are correct. Your approved quotation forms the basis of payment. If anything appears incorrect, please contact us before approval by emailing ncap@hes.scot.
Note: If any requested materials are unavailable, the NCAP team will issue a revised quotation reflecting the updated order value.
4. Make Your Payment
Once your quotation has been approved, you will receive a secure payment link from our payment provider.
Please note that payment must be received before work begins on your order.
5. Receive Your Images
Once your order has been completed, you will receive instructions on how to access and download your imagery and any associated documentation.
As image files are often too large to send by email, we typically provide downloads via our secure ShareFile service. A download link will be available through your HES account within the order details page when the order has been fulfilled.
Note: Downloaded files must be retrieved within 7 days of order completion, after which the download link will expire.
